SCOPE / ACCEPTANCE

A Telegram enquiry bot: from conversation to a CRM record

A practical first release receives an enquiry, collects the required fields, shows a confirmation and hands the request to its owner. Defining that complete path is more useful for estimating scope than counting menu buttons.

Conversation and state

The bot collects only necessary fields and lets the user correct an answer before submission. Repeated /start commands, abandoned forms and returning users need explicit behaviour. Persisting drafts across restarts is included when the workflow requires it.

Submission and CRM integration

Confirmation creates a record with the agreed fields and source. Repeated taps must not produce another enquiry. If the CRM is unavailable, the user receives a clear status and the request remains available for recovery.

Administration and access

Administrators receive defined actions and data. Administrative permissions are checked separately from whether a menu button is visible. Payments, subscriptions, scheduling and a Mini App are additional scope decisions rather than assumed parts of every bot.

Checks before handover

  1. The form works from entry to confirmation, including missing or invalid answers.
  2. Repeated submission does not duplicate a request or a paid action.
  3. Ordinary users cannot run administrative operations.
  4. CRM failure and process restarts follow the agreed recovery behaviour, with useful diagnostic records.

Estimate and a first working release

Scope depends on the conversation branches, stored data, integrations, administrator tools, payments and deployment requirements. An example conversation and a list of connected services are enough to start an assessment. The timeline is agreed after these boundaries are clear; hosting and third-party charges are separate.

Source code and configuration are handed over to the client. Launch instructions, server deployment and ongoing support should be explicit deliverables. For a concrete example, Fin Planner combines income and expense tracking, recurring transactions, balance and reports in Telegram. The case contains actual interface screens and a detailed feature overview.

How much does a Telegram bot cost?

It depends on the number of scenarios, integrations, admin tools, payments and production requirements. A small workflow and a multi-role product are very different projects.

Can the bot integrate with CRM?

Yes. API and webhook integrations can send leads, update deal stages and return status information to the bot.

Can I start without a detailed specification?

Yes. A short description, screenshots or the current workflow is enough to define the first technical scope.

Can the bot use AI?

Yes when AI adds value to a specific step: classification, extraction, drafting, search or conversation. I avoid adding AI where deterministic logic is more reliable.
